Features

Visitor access, fully under control

From pre-registered visitors and member cards to parking fees and daily reports, i-Pass gives residents, staff, guests and security teams a single, connected way to manage every entry and exit — in a community or on a factory site.

Temporary QR access

Temporary QR Codes for guests and service providers

Full entry/exit history

A complete entry and exit log, with one year of history kept and searchable.

Instant arrival alerts

Unit owner notified the moment a guest arrives

Automatic parking fee calculation

Calculates parking charges automatically from the recorded entry and exit times, across six configurable rate categories, with or without a validation stamp.

Pre-register visitors

Residents can pre-register guests directly in the Urbanice app, generating a temporary access code before the guest even arrives, so the guard post knows who is coming.

Centralized access reporting

Juristic office and security teams get a centralized log and exportable reports covering every entry and exit, supporting audits and incident review.

E-Stamp digital parking validation

Shops and the juristic office can validate parking on the spot — either with a digital E-Stamp issued through the app or with a conventional physical stamp — each one tied to the visit it validates.

Daily summary via Telegram

A daily visitor summary is sent automatically to your Telegram group and by email, with income split by cash and transfer and broken down per shift, so the juristic office starts each morning with the full picture.

Member cards for residents

Issue member cards to residents for fast, repeatable entry, with each card tied to its unit so access can be revoked the moment someone moves out.

Blacklist screening

Flag unwanted visitors or vehicles on a shared blacklist, and the guard post is warned automatically the next time they turn up at the gate.

Reusable visitor card support

Works with circulating visitor card schemes — hand a card out on arrival, take it back on exit, and reissue it to the next visitor with the history kept intact.

Paperless, on POS or smartphone

Runs on a POS terminal or an ordinary smartphone, iOS and Android alike, so the guard post works from whichever device it already has instead of a paper logbook.

“Not my visitor” reporting

If a visitor is logged against the wrong unit, the resident can flag it as “Not my visitor” in one tap. The guard post is alerted straight away and can correct the record.

E-Coupon privileges per unit

Issue E-Coupons to residents unit by unit, each with its own entitlement and start and end dates, and choose whether tenants are included — so privileges stay with the unit and cannot be resold. Conventional paper coupons are supported alongside them.

Thai ID card & driving licence reading

Read a Thai national ID card at the gate with the USB smart card dongle on a handheld POS or an Android phone, or with the built-in reader on the Smart model — which also reads Thai driving licences from their magnetic stripe. Visitor details are captured accurately without typing.

Configurable screening questions

Ask your own questions at check-in — purpose of visit, who the visitor is meeting, safety and PPE confirmations. Each site sets its own list, and the answers stay attached to the visit for audit and incident review.

Who does what

One system, three apps, three jobs

i-Pass runs across the three Urbanice apps. Each role sees only what it needs — residents on their phone, the juristic office at the desk, the guard post at the gate.

Urbanice

Residents

  • Pre-register visitors and share a temporary QR code
  • Get notified the moment a guest arrives

Juristic office

  • Set parking rates, E-Stamp and E-Coupon rules
  • Issue member cards and pre-register visitors
  • Manage the visitor blacklist
  • Export centralised entry and exit reports
  • Apply parking stamps on a resident’s behalf

Use cases

Two setups, one system

i-Pass is configured differently for a residential community and for a factory or industrial site. Both share the same core — pre-registration, member cards, blacklist, paperless and reusable visitor cards — and differ in what the system asks for and what it charges.

Residential

Condominiums and housing estates

  • Parking fees, E-Stamp validation and E-Coupon privileges
  • Resident member cards and unit-linked entitlements
  • Arrival alerts to the unit owner, with “Not my visitor” reporting
  • Daily summary with income split by cash, transfer and shift

Factory

Factories and industrial sites

  • Pre-registration, member cards, blacklist, paperless and reusable visitor cards
  • Configurable screening questions asked at check-in
  • Question sets set per site — purpose of visit, host, safety and PPE
  • Answers stored against the visit for audit and incident review
  • No parking fee setup — E-Stamp is still available where it is needed

Smart Gate add-on

Combines with either setup

  • Automatic License Plate Recognition (LPR) at the vehicle gate
  • The barrier opens on its own for registered resident and staff vehicles
  • Visitor vehicles are matched to the visit recorded at the guard post
  • Entry and exit photos captured with a timestamp

Hardware

Two handheld models, or the phone you already have

The Guard App runs on the phone the guard post already has, iOS or Android, and there are two handheld POS models when a dedicated device is preferred. Slips print on the handheld itself or on a separate Bluetooth or network thermal printer.

Guard App on your own phone

  • Runs on iOS and Android
  • Thai ID card reading via USB smart card dongle (Android only)
  • Print to a Bluetooth or network printer, or skip printing altogether with the paperless or reusable card option

Handheld POS Lite

  • Android handheld
  • 58 mm thermal printer
  • Thai ID card reading via USB smart card dongle

Handheld POS Smart

  • Android handheld
  • 58 mm thermal printer
  • Built-in smart card reader for Thai ID cards
  • Magnetic stripe reader for Thai driving licences

Separate printers

  • Bluetooth thermal printer for handheld use
  • Network thermal printer for a fixed guard post
  • With a 4G router, one network printer serves several devices
  • 58 mm and 80 mm thermal paper supported

Handheld models: WiFi and 4G, on AIS and True.

FAQ

Frequently asked questions

What is i-Pass?

i-Pass is a visitor management system that supports visitor registration, QR Code entry and exit, real-time record keeping, and integration with the Urbanice app for greater convenience and security.

How do visitors get into the property?

Residents can pre-register visitors through the Urbanice app and send them a QR Code to enter the property, which cuts out the card-exchange step at the gate. Residents themselves can use a member card for everyday entry.

Will I be notified when a guest arrives?

Yes. The system notifies the unit owner the moment a visitor arrives, so you can see entry and exit status in real time.

Can we review past entry and exit records?

Yes. i-Pass records every entry and exit in the system and keeps one year of history, so you can search back through it and export reports.

What if a visitor is logged to the wrong unit?

The resident can tap “Not my visitor” to flag it. The guard post is notified straight away and can correct the record, so the entry log stays accurate.

Can i-Pass be used at a factory or industrial site?

Yes. i-Pass is configured for factories as well as residential communities. Pre-registration, member cards, the blacklist, paperless check-in and reusable visitor cards all work the same way; a factory adds its own screening questions and does not need the parking fee setup.

What are screening questions?

Questions your site defines and the visitor answers at check-in — purpose of visit, who they are meeting, safety and PPE confirmations. Each site sets its own set, and the answers are stored against the visit for audit and incident review.

Is visitor data handled in line with the PDPA?

Yes. Visitor records, including data read from a Thai ID card, are handled in line with Thailand’s Personal Data Protection Act (PDPA). Access is limited to the juristic office and security team, every record is tied to a specific visit, and the retention period is set by your project.

Does i-Pass still work if the internet goes down?

The guard post can keep recording entries and exits on the device, and the records sync once the connection is back. Handheld POS models support both WiFi and 4G on AIS and True, so the gate can fall back to mobile data if the site network drops.
