Import the co-owner list

Upload owners from Excel or add them one by one, with ownership ratios and voting rights.

If the property already has co-owner records, i-Vote pulls them in as soon as the meeting is created; review them and edit or delete anything wrong. To add people, go to the Owners tab and use “Upload file” or “Add individually”.

Uploading from Excel

  1. Click “Upload file” and download the Excel template.
  2. Fill in the template, completing every required column.
  3. Upload it back. The system accepts .xlsx and .csv up to 50 MB.
  4. Check the preview, then save.

Pad house numbers with leading zeros to a fixed width — a 100-unit property runs 99/001 to 99/100. Without the padding the list sorts in the wrong order.
An owner holding several units must have their first and last name spelled identically on every row, or the system will not recognise them as one person. This drives both combined registration and the section 45 vote reduction.

Voting rights

An upload grants voting rights to everyone in it. To withdraw a right — an owner in arrears on common fees, say — switch it off row by row. Someone without voting rights can still attend and still counts toward quorum; they simply cannot cast a vote.

Adding people individually

“Add individually” creates, edits or removes one owner at a time. Unlike the upload, it makes the phone number mandatory.

House numbers, ownership ratios and voting rights stay editable until the meeting opens. After that they are locked.
